This page covers getting an IronCAD agency workspace stood up and your team signed in. Because IronCAD is a fully hosted service, there is no installation guide to follow and no infrastructure for your agency to build — the setup work is administrative rather than technical.
On the state of this page: in-application feature documentation is being published progressively. What is written below is the onboarding path as it works today. If you need guidance on something not yet covered here, email contact@ironcladthor.com — we would rather answer directly than have you work from a page that guesses.
1. Before you start
Have these ready. None of them are blocking, but having them saves a second pass:
- Your agency's legal name as it should appear in records and on invoices.
- An administrator email address — ideally a role address the agency controls, not an individual's personal mailbox, so admin access survives staff turnover.
- Your roster — the people who will need accounts, and what role each should hold.
- Your units and apparatus — identifiers and types.
- A decision on your plan. Seat limits are 10 on Starter and 50 on Professional. Count everyone who needs to sign in, not just dispatchers.
2. Getting your workspace
There are two routes in, and which one you take depends on whether you want to talk to a person first:
- Self-serve. Choose a plan on the pricing section and complete checkout. Suitable if you already know what you need.
- Request access. Use the Request access path and tell us about your agency. We will provision a dedicated hosted workspace and walk you through onboarding and data setup. Suitable if you want the requirements conversation first, or if you are an Enterprise & Tactical prospect.
3. First sign-in
- Subscribe. Your first charge is taken at checkout.
- Watch for the welcome email. You set your password from it — the password is not chosen during checkout.
- Sign in at app.ironcad.tech. You are the agency's first administrator.
- Turn on two-factor authentication. Email 2FA is available on every plan including Starter. Do this before you invite anyone else.
If the welcome email does not arrive, check spam and quarantine first — agency mail filters are frequently the culprit. If it is genuinely missing, email contact@ironcladthor.com from the address you subscribed with.
4. Building out the agency
Roughly in this order:
- Invite your team. Each person receives a one-time invitation link and sets their own password. There is no shared credential and no open self-registration into your workspace — a user has to be invited by an administrator.
- Assign roles. Access is role-based across the agency, so roles determine what each user can see and change. Give people the narrowest role that lets them do their job; you can widen it later.
- Add units and apparatus so status and availability are meaningful from the first incident.
- Add personnel records, certifications and shifts.
- Run a drill before you run a call. Stand up a test incident, dispatch a unit, and confirm the operational picture looks the way your dispatchers expect. Finding a gap during a drill is free.
5. Bringing existing data across
Guided onboarding and data setup are included with a new agency workspace. Rather than publishing an import format that may not match what you have, we would rather see your actual data first. Contact us with a description of what you are migrating — rosters, unit lists, historical incidents — and in what form it currently exists, and we will tell you what is straightforward and what is not.
6. Administration you should not skip
- More than one administrator. A single admin account is a single point of failure the day that person is unavailable.
- A role address as the primary contact, so billing notices, renewal reminders and security alerts survive staff changes.
- A written continuity-of-operations procedure. Your agency needs an independent means of dispatch and communications for use if the service is degraded or unavailable — IronCAD supports your dispatch operation, it does not replace your procedures or your authority having jurisdiction's requirements. This is not boilerplate; see section 11 of the Terms of Service.
- Know how to get your data out. After termination, data is available for export for thirty days. Do not discover the export path on the last day.
